Most procurement savings don't come from pushing suppliers harder on price. They come from buying smarter: fewer suppliers, clearer specifications and a full view of what each order really costs. Here are six ways UAE businesses cut spend without hurting quality.
1. Consolidate fragmented spend
When three teams buy the same category from three vendors, you lose leverage and pay three sets of delivery fees. List what each department buys, group it by category, and move each category to one or two approved suppliers. Larger, regular orders earn better prices and priority service.
2. Compare total landed cost, not unit price
A cheaper unit price can cost more once everything is added. For every quote, include:
- Freight and insurance
- Customs duty and import VAT on imported goods
- Payment terms and any bank charges
- Quality failures, returns and rework
- The cost of late delivery to your business
3. Write tighter specifications
Most supplier disputes start with a vague request. State materials, sizes, finish, packaging, labelling and acceptable tolerances. Clear specifications get comparable quotes, so you're comparing like with like.
4. Run structured RFQs
Send the same written request to at least three suppliers, with the same quantity, delivery date and terms. Compare the replies in one table. It's faster than informal back-and-forth, and suppliers know they're competing.
5. Agree service levels in writing
Lock in lead times, quality standards and what happens when either is missed. A supplier who agrees to clear terms is usually one you can rely on; one who won't is a warning sign.
6. Plan ahead for peak dates
Ramadan, Eid, UAE National Day and year-end are busy for suppliers and freight. Ordering four weeks or more ahead avoids rush fees and air freight you didn't plan for.
Make it a system, not a one-off
The real gain comes from repeating the process: review spend every quarter, re-quote major categories every year, and keep a short list of approved suppliers. Savings then build over time instead of disappearing after one negotiation.
